Terms of Service

These Terms govern your use of the BaseShot desktop apps, website, BaseShot Cloud, and shared capture pages, including viewing content and posting comments. By using BaseShot, you agree to these Terms. Our Privacy Policy explains how we handle personal information.

Using BaseShot

You must meet the minimum age and legal capacity requirements that apply where you live. BaseShot is not intended for children under 13. If you use BaseShot on behalf of an organization, you must have authority to do so. You may use the service only in compliance with applicable law and these Terms.

Keep your account information accurate and protect access to your account, device, and shared passwords. You are responsible for activity you authorize through your account. Tell us promptly if you suspect unauthorized access. Local capture and editing can be used without a cloud account; uploads and team management require sign-in.

Your content

You retain any rights you hold in the screenshots, recordings, audio, comments, and other content you provide. Using BaseShot does not give you ownership of someone else's material. You grant BaseShot permission to host, copy, process, transmit, and display your content as needed to deliver the features you use, including storage, sharing, search, transcription, captions, collaboration, and notifications. This permission includes using service providers to perform those tasks.

You must have the rights and permissions needed to capture, record, upload, and share your content. This includes complying with recording-consent laws, workplace rules, confidentiality obligations, and other people's privacy and intellectual property rights. Check what is visible or audible before recording or sharing, including system audio, microphone input, camera footage, and personal information.

Sharing and comments

Access to a shared capture depends on its settings: anyone with the link, password protection, team-only access, or private access. Workspace defaults may apply. Unless a more restrictive setting applies, the default is anyone with the link. You are responsible for choosing settings appropriate for your content and for keeping shared passwords secure.

Comment permissions are separate from viewing permissions. Guests may post under a display name when allowed, and comments and replies may be visible to other authorized viewers or included in notification emails. Do not impersonate others or include information you do not have permission to disclose.

People who can view content may save, copy, or redistribute it. Hiding a download button does not prevent copying, and changing access or deleting a capture cannot recall copies or emails already received. Updating a capture can keep the same link and conversation; recipients who still have access may see the replacement content.

Team workspaces

A team workspace is a shared library. Its members can access team files, and owners and administrators can manage team content and membership. A private shared-link setting does not remove access through the team library. Only upload content to a team when you are authorized to make it available there.

Team files can remain in the workspace after an uploader leaves, is removed, or deletes their account. Owners are responsible for workspace administration and must transfer ownership or delete their teams before using account deletion. Your organization may have additional rules about its content; these Terms do not decide ownership disputes between team members and their organization.

Subscriptions and billing

The BaseShot desktop apps are free. Uploading, sharing links, cloud transcription, and team collaboration require a BaseShot Cloud subscription, priced per seat per month as shown on our pricing page, plus applicable taxes. Checkout and payments are handled by Polar, which acts as the merchant of record, calculates and collects taxes, and issues invoices. Polar's terms also apply to your purchase.

A subscription belongs to the person who pays for it and covers their personal workspace and every team they own. Each member counts as one seat, even across several of the payer's teams, and pending invitations reserve a seat. People who only view or comment on shared links do not need a seat. Each seat adds a storage and cloud transcription allowance that is shared across the subscription. Transcription minutes are counted per recording, rounded up to the next minute, and unused minutes do not carry over to the next billing period. Uploads or transcription that would exceed an allowance are refused until space is freed or seats are added.

Subscriptions renew automatically each month until canceled. Adding seats is charged immediately for the rest of the current billing period. Removing seats takes effect at your next renewal, with no credit for the current period. You can cancel at any time from Billing; your access continues until the end of the period you have paid for. Payments are non-refundable, including for partial periods, except where refunds are required by law. We will notify you before a price change takes effect, and it will apply from your next renewal.

If a payment fails or a subscription ends, uploads and cloud transcription stop and shared links stop working for people outside your workspaces. You and your team members can still view, download, and delete existing files. We do not currently delete files when a subscription ends; if we introduce a retention limit, we will give at least 30 days' notice before deleting files for that reason.

Text recognition and captions

Text recognition and automatic captions or transcripts can contain mistakes, omissions, or incorrect timing. Review them before relying on or sharing them. They are not a guaranteed verbatim record. Desktop captions are generated locally, while uploaded recordings may use cloud transcription when usable local captions are unavailable, as explained in the Privacy Policy.

Acceptable use

You must not use BaseShot to:

• Break the law or violate another person's privacy or intellectual property rights
• Upload unlawful content, malware, or material intended to harass or harm others
• Attempt to bypass security, disrupt the service, or access another user's account
• Use the service in a way that creates unreasonable technical or operational load
• Send spam, misuse invitations or comments, or evade access controls and usage limits

Deletion and retention

You can delete captures you are authorized to manage, configure automatic deletion, and request account deletion through your Cloud account profile. Cancel any BaseShot Cloud subscription before deleting your account. Keep independent copies of important work before deleting files, changing automatic deletion settings, or leaving a workspace. BaseShot Cloud is not a guaranteed permanent archive.

Account deletion removes personal cloud files and account data, while published files in active teams remain with those teams. Signed-in comments are replaced with deleted-user placeholders so other people's replies can remain. Background cleanup takes time, and cached or backup copies may persist as described in the Privacy Policy. Cloud deletion does not remove files from your device or copies held by other people.

Third-party services and software

BaseShot relies on providers for authentication, hosting, storage, payments, email delivery, transcription, and diagnostics. Their availability can affect these features. The Privacy Policy identifies these providers and their roles. Third-party services you use directly and third-party software components may have their own terms or licenses; these Terms do not replace those licenses or grant rights to third-party material.

Availability and changes

Features depend on your operating system, app version, permissions, and service availability. BaseShot may check for and download app updates and prompt you to install them. We may introduce or change usage limits and update, modify, suspend, or discontinue features, subject to applicable law. We do not guarantee uninterrupted operation or permanent availability of a capture, transcript, or shared link.

Account suspension

We may restrict or terminate access when reasonably necessary to address violations of these Terms, security risks, abuse, legal requirements, or harm to the service or others. Contact contact@baseshot.io if you believe a restriction was applied in error.

Disclaimers and liability

To the extent permitted by law, BaseShot is provided "as is" and "as available," without warranties of uninterrupted operation, fitness for a particular purpose, or freedom from errors. To that same extent, BaseShot will not be liable for indirect, incidental, special, consequential, or exemplary damages arising from your use of the service.

Nothing in these Terms excludes or limits liability, consumer protections, or other rights that cannot lawfully be excluded or limited. Any mandatory rights you have under applicable law remain in effect.

Changes and contact

We may update these Terms as BaseShot changes. The date above identifies this revision. Where required by law, we will notify you of material changes or request your agreement. If you do not agree to revised Terms, stop using the service; you can use available export and deletion controls.
